Event Coordinator

  1. Coordinate all aspects of Special Events (defined as non-ticketed internal and external events, including special event needs associated with Festivals) and Conferences including venue walk-throughs, scheduling, negotiating rental rates, advising staff of relevant event information, generating rental contracts, coordinating production logistics, maintaining relations with the renter, event execution, and generating event invoices.
  2. Provide the day-to-day coordination of special events in and around U.S. Bank Plaza. Includes the coordination of all permits, security, budgetary, calendar scheduling and details associated with guests and performers.
  3. Identify and create relationships with prospective event planners and venue renters.
  4. Respond to rental inquiries from referrals, phone calls, and website requests.
  5. Field and support requests for movie and television filming within Playhouse Square.
  6. Primary point-of-contact to Driftwood Concessions & Driftwood Catering for all Playhouse Square/Resident Company event related needs.
  7. Coordinate proposals, event set-ups and billing for events.
  8. Provide consistent, timely, and dependable information to other Playhouse Square departments regarding all special events throughout the event planning process.
  9. Prepare contracts for clients with estimates of expenses including but not limited to union labor, venue rental, parking, and other miscellaneous event expenses.
  10. Complete final counts, payment and walk through closer to the event with florist, designer, caterer, host, etc. to answer questions and confirm details. Update Playhouse Square staff as needed.
  11. Greet and be available to client day of event.
  12. Prepare annual budget for special events.
  13. Provide support to Assistant Director of Operations in relevant areas.


  1. Minimum of 2 years in sales, event planning/coordination or hospitality, or related professional experience.
  2. Demonstrated ability to manage multiple tasks and projects.
  3. Self-motivated with strong organizational skills and problem solving abilities.
  4. Excellent communication skills, both verbal and written.
  5. Outgoing, people-oriented person, with outstanding interpersonal skills and ability to build and maintain professional relationships.
  6. Ability to work in team environment.
  7. Experienced user on current PC hardware and software.
  8. Schedule flexibility/availability evenings and weekends.
