Assistant Director of Facilities

RESPONSIBILITIES

 

  1. Embrace Playhouse Square values and programs that further Diversity, Equity, and Inclusion within the department.

 

  1. Manage and support the theater facilities teams by reinforcing policies, implementing operational practices, and accomplish objectives pursuant to the goals of Playhouse Square. Promote effective communication and cooperation with employees, interdepartmental teams, and administrative leadership across the enterprise. Develop vendor and contractor relations to achieve continuous improvement in delivery of goods and services.

 

  1. Assist the Director of Facilities with management of physical plant operations, building maintenance, grounds, utilities, and energy management systems for Playhouse Square Foundation theaters and buildings. Observe, inspect, document, and monitor spaces and the activities those spaces support. Documentation includes work orders, photographs, onsite notation, and review and synthesis of other available records.

 

  1. Manage the procurement of goods and services that support and increase capabilities within the Maintenance and Housekeeping departments. Interface and maintain communication with contractor and vendor representatives to increase value of work, adherence to contracts terms, property policies, and procedures.

 

  1. Support preparation of operating, utility, and capital budgets by developing scope of services, receiving bid documents and submittals. Participate in long range facilities planning, including administration of Playhouse Square Business Plan and strategic initiatives.

 

  1. Plan, schedule, and complete assigned building maintenance and capital projects. Maintain budget, records, and report progress for all work. Coordinate site visits for surveys, structural or mechanical investigations and reporting.

 

  1. Oversee interdepartmental communication of project activity regarding impact on building occupancy. Advise contractors on availabilities of workspace for mobilizations throughout the Theatre District.

Qualifications

  1. Bachelor’s degree required and minimum 10 years of experience in facilities management.
  2. ​​​​​​​Knowledge and understanding of  project management, commonly applied concepts, practices, and procedures in building trades and construction.
  3. ​​​​​​​Excellent communication skills, both verbal and written.
  4. ​​​​​​​Outgoing, people-oriented person, with outstanding interpersonal skills.
  5. ​​​​​​​Proven supervisory experience.
  6. ​​​​​​​Self-motivated with strong organizational skills.​​​​​​​
  7. Knowledge of current PC hardware and software including MS Project, Teams, Planner, and CMMS work order systems.
